How We Find Tenants in Toronto

With over 25 years in business, we’ve screened thousands of tenants for thousands of properties across the GTA. Using that experience, we’ve developed a robust 7-step Tenant Search & Screen process. Because it makes us proud to share our insights with owners and investors like you, we’ve broken down our process below:

Marketing

The tenant screening process starts with marketing the unit.

  • Try to paint as accurate a picture of the home as possible. This will set reasonable expectations and attract applicants who will be most suited to the home.
  • Avoid embellishing features and amenities.
  • Quickly respond to enquiries and be punctual for showings.
  • Look for tenants through a property management lens. Think about who you would want to interact with going forward.

Rental Applications

Receiving an initial rental application and the accompanying supporting documentation gives you your starting point for assessing an applicant’s suitability for your home. Using this information, you can begin the process of identifying the most suitable tenants.

  • Provide applicants with intuitive online applications and straightforward fillable PDF forms.
  • Guide applicants in providing the supporting documents that assist us in qualifying them.

Finances

It goes without saying that a basic function of filtering applications is assessing an applicant’s ability to pay rent. This starts with a credit check and income verification, which serve to validate what an applicant has reported. While assessing these two aspects of an applicant’s suitability for a property are standard, they don’t necessarily give us a full picture. For example, when you decline an application simply due to the applicant having a low credit score, you may be rejecting a great tenant who has reasonable cause for their low score. To get a more complete financial picture, we recommend looking at:

  • Credit reports
  • Income verification documents
  • Cash assets
  • Investment assets (e.g., real estate)
  • Family & spousal support

Fit

The suitability of a tenant to your home is a critical consideration and this is why we ask that each of our applicants participate in a thorough interview process. Rather than looking only at the most basic information, we recommend putting together a comprehensive picture that looks at factors such as:

  • Will the tenant be happy living there?
  • Are they likely to get along with their new neighbours?
  • Do they seem cooperative and easy to work with?
  • Is their tenancy likely to endure for the desired lease term?
  • Are their social media accounts (e.g., LinkedIn) consistent with the information they’ve reported?

Fraud

While screening tenants, we go the extra mile to ensure that homeowners are protected. “Predator tenants” – professional tenants who prey on unsuspecting landlord – will go to great lengths to conceal or obscure their identity and rental history. This is why it is important to go to greater lengths to life the veil and separate fact from fiction.

  • Conduct employer reference checks (and be sure to verify that the company exists).
  • Contact two previous landlords.
  • Conduct an Internet search and social media review for each reference.

Owner Review

After screening through the pool of potential tenants and narrowing the search down to only the most qualified candidates, we will select one to two applicants for your further review. You will be provided with a summary of all relevant information and will be asked to make a decision about the application. A tenancy only proceeds with the owner’s approval – you will always have final say regarding who will live in your property.

Tenancy Setup

The tenant move-in initiates a transition in our tenant selection process from an analysis phase to one of observation, monitoring, and relationship-building. Here is what happens in this final stage of the tenant selection process:

  • Right away, we establish a positive and communicative relationship with the new tenant. Doing this strengthens communication and cooperation down the road.
  • Our 22-page leasing document, which has been created and refined by lawyers and paralegals, spells out the rights and responsibilities of both the tenant and the landlord.
  • Our move-in inspection establishes a baseline from which we will assess the home’s condition from that point on. We will make a copy of this report available through our secure, online Client Poral).
